Administration and management of the maintenance services |
Scheme infrastructure and environment will be maintained by various appointed bodies such as agencies and contractors with expertise in relevant areas as follows. These areas will be maintained out of the annual maintenance charges paid by the East Gardens Scheme members.
Security
- Maintaining security guard cabin and other common areas with CCTV System.
- Supervising and monitoring of community compound walls to avoid any pilferage
- Maintaining visitors log books
- Verification and identification of visitors
Housekeeping
- Cleaning, sweeping and general maintenance of roads & road side development i.e. traffic islands, common parking spaces, footpaths, rainwater drains and curbing within the scheme
- Cleaning, sweeping and general maintenance of clubhouse, tennis court, gymnasium, security guard cabin and any other community places
- Collection and disposal of household and common area rubbish
Clubhouse canteen and provision store
- To ensure smooth and satisfactory running of these facilities such as providing food, hot and cold drinks and emergency supply such as milk, bread, toothpaste, toothbrush, soap, sugar, tea, coffee powder etc.
- To ensure clean and hygienic environment in the clubhouse
Communal Gardens and Plantation
- Regular watering of plants and communal lawn areas

The following services will be provided to the East Garden Scheme members, for which charges will be payable by the members to the service provider directly depending on the type of the service used.
- Maintenance of individual bungalow and its garden
- Provision of in house servants during the scheme members’ or their authorized representatives’ stay in the villa
- Provision of maintenance of the villa in scheme members absence
- Services for payment of utility Bills and house tax bills
- Arranging taxi service with appointed contractor to commute within or outside Vadodara
- A chauffeur can be arranged with advance notice of two weeks
- Provision for health care services including emergency on call doctor services and hospitalization services

- The responsibility of managing the East Gardens Scheme will lie with the East Gardens Owners Association which will initially be run by manageme nt of East Gardens scheme.
- The East Gardens Owners Association will be a separate legal entity to ensure that all the transactions related to the maintenance charges and payments are transparent, properly recorded and accounted for
- The East Gardens Owners Association will be run and administered by an appointed and a paid manager.
- The provision of services, both covered by maintenance charges and on demand, will be the responsibility of the manager whose brief job description follows this section
- Once the majority of the scheme is owned by the scheme members, the management of East Gardens Scheme will pass on the responsibility to the scheme members by electing a chairman, a secretary and a treasurer
Brief Job description of the Scheme Manager
- To be responsible for and to administer the Owners Association
- To ensure that the lives of the scheme members are as comfortable as possible by running all services smoothly on a continuous and consistent basis
- To recruit staff necessary for all the services covered under maintenance charges and under on demand category
- To appoint all the contractors and agencies described above with the guidance from the management of East Gardens Private Limited
- To administer monthly payrolls
- To report monthly and quarterly cost analysis and projection for each services provided individually and group wise to the Owners Association.
- To maintain books of accounts , bank accounts and of human resources and to arrange for due verification of these documents by the Owners Association including any members or his/her authorized and designated representative of the Community.
- The manager will also responsible for collecting the annual maintenance charges from the scheme members and for making any relevant payments for the maintenance of the scheme
- To liaise with the bodies such as electricity suppliers, phone services suppliers, which fall outside the remit of East Garden Scheme to ensure that most efficient response and services to address any problems
Review of agencies and contractors for the maintenance
The contracts of all agencies employed by the East Gardens Scheme Owners Association will be reviewed on annual basis to ensure that the paying members of the scheme are getting the best value for their money in terms of quality of services and pricing.
Charges
The following charges are payable by the buyers of villas with in the East Garden scheme.

Deposit of INR 50,000 payable at the time of possession for Premium Villas
- Deposit of INR 60,000 payable at the time of possession for Deluxe Villas
- Annual maintenance charges of INR 2,500 per month for Premium Villa.
- Annual maintenance charges of INR 3,500 per month for Deluxe Villa.
- All amounts payable to be remitted to East Garden Owners Association
- The unsold villas within the East Garden scheme will not be subjected to maintenance charges
